Report filters
Limits the entire pivot to chosen items of a field placed in the Filters area.
When to use it
A field in the Filters area adds a dropdown above the pivot that limits every number in it to the chosen items.
The shape of it
- How
Drag the field to Filters, use its dropdown above the table. Enable "select multiple items" for more than one.
Worked examples
Single item
Drag Year to Filters, choose 2025 → The whole pivot shows 2025 only
One year at a time.
Several items
In the dropdown, check Select Multiple Items, tick 2024 and 2025 → Two years combined
Multi-select.
One pivot per item
PivotTable Analyze, Options, Show Report Filter Pages → One sheet per filter item
A pivot per region in seconds.
Worth knowing
- Slicers show the filter state visibly and work across pivots.
- The filter cell can be referenced by formulas.
- Filters apply before totals, so grand totals reflect the filter.
Where it goes wrong
- Multiple selections show "(Multiple Items)" without saying which.
- Filter fields take up rows above the pivot.
