When to use it

Show Values As displays a value field as a percentage of a total, a running total, a difference from another item, or a rank, without changing the source.

Right-click a value cell, Show Values As, choose the calculation. Add the same field twice to see both.

Worked examples

  • Share of total

    Right-click a value cell, Show Values As, % of Grand Total Each cell as its share of everything

    Mix.

  • Share within group

    Show Values As, % of Parent Row Total Each product as a share of its region

    The one people usually want.

  • Running total

    Show Values As, Running Total In, Order Date Cumulative totals down the months

    Year to date.

Worth knowing

  • % of Parent Row Total is the one people want and rarely find.
  • Add the field twice to show the raw number and the percentage side by side.
  • Difference From with (previous) gives month-over-month change.
  • Rank Largest to Smallest ranks within a group.

Where it goes wrong

  • % of Column Total versus % of Row Total is easy to mix up in a cross-tab.
  • Running totals restart at each parent group.
